I need some advice or suggestions on a formal letter

to request permissions to perform and possibly record a song, from a rights-owner who uses customary professional means of snail-mail contact. The problem is that I am asking on behalf of a friend who (like myself) doesn’t rememebr the first thing about writing formal business letters and my friend feels the urgent need and obligation to get this started very quickly because it is needed for featured musician (signed with B.C. Rich), who she is acting agent of, so that all can be in place before the next season starts for a show where he’s planned to have the title theme recorded.

If you ae in the music business and familiar with such letter-based requests, or simply a professional in any field who is good at writing business letters and proposals, please help if you can.

The more specific details are that my frind, Lisa is acting agent of this featured musician, the song’s original author died in the late 1970’s, the rights are managed/administered by a rather small company who only has a basic answering machine for their ASCAP listed phone number, royalties are assigned to the author’s daughter as beneficiary (who’s also a well-known and reputable songwriter) and the letter should respectfully request permissions and blessings to perform the song on a not-for-priffit basis as well as (if possible) recorded for not-for-proffit use and promotion (on the musician’s part, but may possibly be sold on the show’s soundtrack CD if they choose to make one, in which case the network would handle any royalties appropriations).

More or less, the letter should ask for permission or guidelines to obtain permission and to request the blessings of the owner of the works (either the royalties beneficiary or the administrater/copyright holder) on behalf of the artist who wishes to perform it. Normally, Lisa did this sort of thing by herself, through casual social contact, but she’s not accustomed to doing it in writing without request guidelines.

Any suggestions, help or advice would be greatly appreciated. Just the same, once it goes through you’d be able to hear it on the show and tell people you helped to make that possible. :)

We use to write buisness letters in one of my classes. I’m awful at explaining it, but I’m sure I could get your an example if you’re intrested?

Even a simple template would be a very good start, thanks!

I still need to figure out some of the wording, but being reminded of how they should be written as far as the layout would be very helpfull.

Im sadly enough not good at wording. I wouldn’t trust myself to get you wording for something. I’d be to afraid it’d be all messed up and i’d feel bad if it messed up your letter. //^.^//

Don’t be so critical of yourself, things rarely ever come out 100% on the first try. That’s what editing and revision are for. :)

Those steps were already taken via ASCAP, before my original posting. We have the contact info, but the administrator for the work only accepts formal letters in writing, which is why we’re asking for ideas or help in the matter. We’re on a zero-budget at the moment so no attorney or secretaries to write up such requests or proposals.

But from your information, I have a few ideas of what to include in the letter, such as describing the specific situation, which is somethign I am more familiar with handling over the phone.

Yeah, less is more with business letters. Keep in concise and to the point, as they won’t have lot of time to read it before they chuck it in their in-tray and forget about it.. Just remember they’re expecting a formal application/response. They’ll probably throw the letter straight in the bin if it starts ‘yo dude’ :)

It’s solved. Appearantly, she hadn’t gone through ASCAP since about 10 years ago and didn’t know that they have resources to establish contact and apply for permissions automaticly through their website. ( http://www.ascap.com )
